Travel Stipends

Travel Stipends provide reimbursement to students for costs associated with presenting at a professional academic conference

These stipends can be used towards in-person or virtual conferences.

The Office of Undergraduate Research will only reimburse expenses incurred by the student traveler.  We do not reimburse faculty, staff, graduate students, parents, friends, etc. who pay for any part of the student's travel expenses (i.e., registration, airfare, hotel, etc.).

You must have your research or creative project accepted for presentation at a professional academic event, such as a conference or symposium. 

Student conferences are not eligible for travel funding, with the exception of the .

Student Requirements:

  • Must be enrolled as an undergraduate at LSU at the time of travel.

  • Must have a minimum 2.5 GPA.

  • Must be in good standing with the university. We will verify this with the Student Advocacy and Accountability office.
    Must receive a letter of recommendation from your faculty mentor.

  • Must meet the following criteria:

Be enrolled in the Distinguished Undergraduate Researcher Program with the following activities completed:

  • Abstract Workshop
  • 1 Professional Development Activity
  • 90 Research Practice hours

 

  • Must apply at least two weeks before the first day of travel.

Approved students will schedule a meeting with LSU OUR to complete the Travel Stipend Agreement Form and the university's pre-travel form (aka Spend Authorization). These forms must be completed before your first day of travel. 

Within 4 days of returning from the trip, you must attend a second meeting with LSU OUR to submit the post-travel reimbursement form (aka Expense Report). 

Reimbursement forms will not be approved until you have completed the Travel Survey form. 

Whether on a poster or a PowerPoint presentation, students should acknowledge all funding sources for the project and travel.

Travel to these select locations within continental North America: Alexandria & Arlington, Atlanta, Austin, Baltimore, Boca Raton, Boston, Chicago, Cleveland, Dallas/Fort Worth, Denver, Ft. Lauderdale, Hartford, Houston, Kansas City, MO, Las Vegas, Los Angeles, Miami, Minneapolis/St. Paul, Nashville, New York City, Oakland, CA, Orlando, Philadelphia, Phoenix, Pittsburgh, Portland, OR, Tampa, Sacramento, San Antonio, San Diego, San Francisco, Seattle, Sedona, St. Louis, Washington DC, Wilmington, DE, and all locations within Canada and Mexico. $1,000.00
Travel outside of continental North America: Alaska, Hawaii, Puerto Rico, U.S. Virgin Islands, all of Alaska and Hawaii, American Samoa, Guam, Saipan, and all foreign locations located outside of continental North America. $1,500.00
Virtual conference fees $500.00

 

  • Undergraduate Research Travel Reimbursement Stipends will be given to eligible LSU undergraduate students on a first come, first served basis.
  • Only one student per conference will be funded.  Students presenting as a group can split the stipend.
  • Students may receive a travel stipend for an in-person conference once per academic year.
  • The Office of Undergraduate Research can reimburse only those costs allowed by LSU travel regulations (see PM-13 for details).
  • Typically, student travel expenses are reimbursed around 4-6 weeks after return from travel.
  • The Office of Undergraduate Research will pay directly for student airfare and conference registration costs where allowable.
  • Reimbursement only; no travel cash advances are available.
  • The Office of Undergraduate Research will only reimburse expenses incurred by the student traveler.  We do not reimburse departments, programs, grants, faculty, staff, graduate students, parents, friends, etc.  
  • The Office of Undergraduate Research will pay for plane tickets and registration costs on our credit card when possible.
  • The Office of Undergraduate Research will complete the online Spend Authorization and Expense Report forms for the student traveler.
  • All airfare must be booked in coach through the university's travel agent Christopherson Business Travel. The Office of Undergraduate Research can purchase the ticket for the student, or the student can purchase the ticket with their own funds and wait to be reimbursed after returning from travel.
  • Students will be notified of reimbursement limits for hotel and per diem per PM-13 Travel regulations during their meeting with an The Office of Undergraduate Research staff member.
  • Students may not share overnight lodging accommodations, such as a hotel room, with an LSU faculty member, staff member, or graduate student.  Students may share accommodations with a fellow undergraduate student.
  • If the student does not meet any of the reimbursement requirements outlined in the Travel Stipend Agreement Form. For example, if the student fails to produce receipts from travel, then The Office of Undergraduate Research may not be able to reimburse the student’s travel costs.
